Policy Patrol Disclaimers

Disclaimer & signature tool for Exchange and Lotus Domino

Policy Patrol Disclaimers is a disclaimer and signature tool for Exchange Server and Lotus Domino. The program offers advanced user-based disclaimer & signature features such as formatting, merge fields, HTML disclaimers with pictures & tables and disclaimers as text attachments. Furthermore, Policy Patrol can avoid adding multiple disclaimers when replying or forwarding and can position signatures after the last entered message text. Policy Patrol works with Exchange 2003, Exchange 2000 & Exchange 5.5, Lotus Notes/Domino and any other SMTP mail server. If installed on Exchange 2000 or Exchange 2003, Policy Patrol can add disclaimers to internal as well as external mails.

Policy Patrol is easy to install and configure, and its powerful rules wizard allows you to create customized user-based rules by specifying conditions, exceptions and actions. Each rule can be scheduled by date and time. Policy Patrol ships with several sample disclaimer templates and rules so that you can start adding disclaimers to your emails within minutes after installation. Global & user based disclaimers
Policy Patrol allows you to define global disclaimers that are added to every email, or to configure user-based disclaimers that are only added to emails from specified users, groups, domains or public folders.



Formatted disclaimers with pictures and tables
Policy Patrol can apply formatting to your disclaimers and signatures, such as font type, size, color, bold and underlined. In addition, pictures and tables can be included. For HTML disclaimers the HTML source can be edited, which gives you the freedom to format your disclaimers as you wish. Policy Patrol will add formatting for rich text and HTML mails. If the disclaimer is added to a plain text email, no formatting will be included. Policy Patrol also includes the option to add a disclaimer as a plain text attachment.



Internal and external disclaimers
Policy Patrol can add disclaimers to external as well as internal mails (if installed on Exchange Server 2003 or 2000). Since Policy Patrol can distinguish between internally and externally sent mails, you can add different disclaimers depending on whether the emails are sent internally or externally.



Merge fields & signatures
By using merge fields such as user name, telephone number and email address, you can configure one global signature that is personalized according to the sender of the email. Merge fields can also make your disclaimer more specific and therefore increase the strength of the notice. For example, you can add the date the disclaimer was sent, or the name of a supervisor that must first confirm an agreement in writing. Policy Patrol includes user, message and date fields. The user fields are taken from the user's properties in the Active Directory, Exchange Server 5.5 or Lotus Domino.



Custom disclaimer & signature positioning
Policy Patrol can append or prefix disclaimers, but can also position disclaimers & signatures after the last entered message text. This is especially useful for signatures when replying or forwarding. Policy Patrol supports this feature for different mail clients (e.g. Outlook 2000/2003/XP) and for different languages.



Avoid multiple disclaimers
By searching messages for an existing disclaimer, Policy Patrol can avoid adding multiple disclaimers when replying or forwarding. For instance if you reply to an earlier message you sent, there will not be another disclaimer added to the mail since one has already been included.



Disclaimers with link
Policy Patrol can add a disclaimer at the top of the message that links to a disclaimer at the bottom of the email (one of the sample disclaimer rules makes use of this feature). The bottom disclaimer can be added only once whereas the top disclaimer can be added each time the message is replied to or forwarded.



Email branding
Policy Patrol Disclaimers allows you to format your outgoing emails using an HTML template, giving your email communications a professional look. Email branding is not only pleasing to the eye, it also improves readability and opens up a new marketing opportunity. By branding your emails more like a website, you can add a column with links to company news and calls to action. in this way, each email will become a marketing message in an unobtrusive way. Policy Patrol ships with 10 sample templates. You can either edit these or create your own.



Condition based disclaimers
Policy Patrol can add or suppress a particular disclaimer depending on certain conditions, e.g. a code in the subject (which can be removed before it is sent to the recipient), a particular sender or recipient, the existence of an attachment or a word in the subject or body.



Send blind copy
This feature can be used to save copies of messages in a particular mailbox for monitoring or backup purposes, or to prove that a disclaimer was added. You can specify a particular email address, select to send a blind copy to the sender's or recipient's manager, or select a filter to send the blind copy to. Furthermore by specifying conditions in the rules wizard you can specify only certain emails to be copied, for instance only messages that contain confidential content.



Auto replies
Policy Patrol not only allows you to send auto replies to web forms and information requests, but also when messages are received for employees that have left the company.



Remote management
Policy Patrol can be configured remotely by installing the Policy Patrol Administration console on a remote machine and connecting to the Policy Patrol installation. If you have more than one installation of Policy Patrol, you can administer all installations from the same Administration console.



Exchange 2003, Exchange 2000 & Exchange 5.5 and Lotus Domino
Policy Patrol works with Exchange Server 2003, Exchange 2000 & Exchange 5.5 (or Windows Small Business Server), Lotus Domino and any other SMTP mail server. The product takes full advantage of the Active Directory structure, which enables you to select users, groups, public folders, domains and contacts from the Active Directory, and to retrieve user properties for merge fields. If you do not have Active Directory, Policy Patrol can also retrieve users & groups and their properties from Exchange Server 5.5 and Lotus Domino. Alternatively you can manually input users or import users from a text file.

Policy Patrol can add disclaimers to emails sent from Outlook, Outlook Express, Outlook Web Access and handheld devices such as Blackberry; as long as the message is sent via the Exchange Server or Lotus Domino Server, Policy Patrol will add a disclaimer.



User licensing
Because Policy Patrol allows you to select which users to enable rules for, you are not forced to purchase licenses for all your users. If you only wish to add disclaimers for a limited number of users, you can simply create a connector that retrieves these users, and you will only need to purchase licenses for these users.



System requirements
To use Policy Patrol you require the following:

Microsoft Windows 2000 Professional or (Advanced) Server, Windows XP Professional or Windows Server 2003.
Microsoft Exchange Server 2000, Exchange Server 2003 or Exchange Server 5.5 (or Windows Small Business Server), Lotus Domino or other mail server.
Microsoft .NET Framework 1.1 (if you do not have this installed the Policy Patrol installation will download this for you).
